We are looking for a detail-oriented and proactive Office Manager to join our team at Trusting Social. In this role, you will oversee the operation of all office sites, managing essential services such as mail handling, reception operations, visitor management, facilities coordination, and food and beverage provisions. You will also be responsible for procuring office supplies and providing crucial logistical support for company events and activities. As the Office Manager, you will have full ownership of administrative functions, ensuring the seamless operation of our office environments.

How you will make an impact in this role

In this role as an Office Manager, you will make a significant impact by managing a portfolio of administrative tasks, nurturing existing office relationships, and seeking innovative ways to enhance office efficiency. You will be responsible for developing strong connections with staff, key executives, and stakeholders while preparing insightful administrative reports. Acting as a liaison between staff and cross-functional internal teams, you will ensure the timely and successful delivery of our administrative solutions in line with office needs, thereby enhancing the overall office experience. Your role will involve identifying office needs and exceeding staff expectations to contribute to sustained business growth and exceptional office satisfaction. Ultimately, as an Office Manager, you will collaborate with our team to achieve operational excellence and drive business growth.

What You'll Do

  • Lead facility and space management, including equipment maintenance, cleaning services, and security measures, to ensure a safe and efficient office environment.
  • Manage budgeting and financial aspects, ensuring office administration operates within financial parameters.
  • Oversee procurement and distribution of food and beverages, catering to dietary needs and maintaining health and safety compliance.
  • Cultivate vendor and contractor relationships, negotiating contracts to ensure cost-effective purchasing and optimal value.
  • Manage employee travel arrangements and oversee visa and immigration processes.
  • Coordinate cross-department support for onboarding, offboarding, employee benefits, event coordination, and IT support.
  • Ensure compliance with legal and regulatory requirements, implementing risk management strategies.
  • Monitor and report on performance management, ensuring goals are met and improvements are implemented.
  • Lead change management initiatives to enhance office administration processes and technology.
  • Perform other ad-hoc duties as assigned by the line manager, taking immediate action when needed.

What We're Looking For

  • A bachelor’s degree in business administration or a similar field is preferred.
  • Proven work experience as an Administrative Officer or similar role (minimum 5+ years’ experience).
  • Experience working in an international workplace with full ownership of administrative functions.
  • Proactive, persistent, team-player, and self-starter with strong leadership and task management skills.
  • Well-organized and able to handle multiple tasks and changing priorities under pressure.
  • Strong analytical and problem-solving abilities with excellent attention to detail and presentation skills.
  • Proficient in Google Workspace, Slack and Macbook Usage with fluency in English.
  • Capable of making informed, strategic decisions independently, ensuring alignment with organizational goals.
  • Adaptable to change, fostering a collaborative environment, and encouraging team members to embrace new circumstances positively.
